What is a GTZ (Safe Use) Evidence File?

GTZ (Chain Describing Safe Use) evidence file is a set of records documenting the safe use of a substance throughout the supply chain. It is especially important for subusers and audit processes.

File; It indicates the conditions of use of the substance, the risk management measures applied, exposure information and consistency with the Safety Data Sheet. Inspections prove that the use is within the scope of registration and is safe.

Purpose of Evidence File

A safe use evidence file is a set of documents showing that the risk of a substance is under control when used under certain conditions. The aim is to prove which measure was implemented and for what reason when asked during the audit. This file is not a single document, but an orderly collection of records that support each other.

Contents of the File

The file contains the current safety data sheet, exposure scenarios if any, a comparison table with your own conditions of use, workplace measurement results, personal protective equipment selection justification and employee training records. Ventilation system capacity and maintenance records are also included as supporting evidence.

Location of Measurement Data

Workplace air measurements are the strongest evidence that the measures implemented are actually sufficient. The measurement must be carried out by an accredited organization, under representative operating conditions and at critical duty points. A measurement taken on a day when production stopped has no evidence value, even if it is numerically good.

Update and Ownership

The file must be renewed when production conditions change, a new item is commissioned or an updated form arrives from the supplier. Responsibility should be assigned to a single person and the review date should be calendared. Files left unattended quickly become outdated and become adverse evidence during audit. How to Use

The most effective presentation in an audit is to be able to answer every question asked with the relevant record in the file. It is therefore recommended that the file begin with a table of contents and that the date of each record be visible. Accurate information kept in scattered folders is ignored when it cannot be found.
