There is no harmony without information flow
Chemical regulatory compliance is based on data from the supplier: substance identity, purity, impurity profile, classification and exposure scenarios, if applicable. If this information is missing, the file will also be incomplete; Supplier communication is therefore a technical matter, not an administrative formality.
Knowing what to ask for
Instead of saying “send documentation” to the supplier, convey in writing what is requested: up-to-date safety data sheet, certificate of analysis, chromatogram, registration number and scope of access letter, if any. Once the request is clear, the response time is significantly shorter.
Link change notification to contract
When the supplier changes the formulation or production method, your file is also affected. Having this notification written into the contract prevents item identity differences that are noticed later.
When you get no response
If the supplier is reluctant to share information, there are three ways: offer a confidentiality agreement, request the information as a third-party declaration, or have it analyzed directly. All three are possible; Doing nothing leaves the file incomplete and the responsibility remains with you.
Language and format for foreign suppliers
The document from a foreign supplier is often in the format of its home market. For Türkiye, the classification must be re-done according to local rules and the document must be prepared in Turkish. Saying this up front eliminates much of the subsequent correspondence.
Record communication
Requests and responses must be emailed and dated. In an audit, the defense of "we asked but they didn't give it" is only meaningful with a written record.
Standard Question Set for Supplier Communication
Effective Supplier Communication starts by asking the same questions to every supplier: the CAS number of the substance, its registration status and number, whether an exclusive representative has been appointed, the current SDS version and the commitment to notify in case of classification change. Putting this set in the contract annex eliminates the burden of Supplier Communication from being a correspondence that is re-established with each shipment.
